This Privacy Policy explains how we collect, use, store, and protect personal information submitted through our Online Inquiry Form.
What information we collect
When you submit an inquiry using our online form (https://littlemonsters.ca/inquire), we will collect information you provide such as your name, email address, phone number, your child’s name, gender, and birthdate, your preferred class, location, weekly schedule, and any information contained in comments you choose to include.
To protect our website and reduce spam or automated submissions, we also log limited technical data related to each submission attempt, which include your IP address (stored in both a readable format and a secure packed format), date/time of the submission attempt (UTC), browser/user agent information, referrer (the webpage that directed you to our form), if provided by your browser, language settings (Accept-Language), if provided by your browser, the page path where the form was submitted from, and a cryptographic hash (“payload hash”) of the submission content for repeat-detection (this is not the plain text of your message).
Why we collect this information
We collect and use the information above to respond to your inquiry and communicate about tours, waitlists, availability, and enrollment steps, to determine a child’s general eligibility timing based on birthdate (for planning purposes), to maintain internal records of inquiries and follow-ups, to protect our website and staff from spam, abuse, and automated submissions, including: rate limiting repeated attempts from the same IP address, detecting repeated identical submissions, and blocking high-risk submissions when our security rules indicate likely spam.
Legal basis and consent
By submitting the inquiry form, you consent to the collection and use of your personal information as described in this policy. We collect only the information reasonably necessary to respond to your request and to protect our services from misuse.
How we store and protect your information
We store inquiry information and security logs in our databases and take reasonable administrative, technical, and physical safeguards designed to protect personal information against loss, theft, unauthorized access, disclosure, copying, use, or modification. Safeguards may include access controls, logging, and security monitoring.
No method of transmission or storage is 100% secure, but we work to use appropriate safeguards for the sensitivity of the information.
Retention
We retain inquiry form submissions and related security logs only as long as reasonably necessary for responding to your request, managing waitlists/enrollment communications, meeting legal/accounting obligations (where applicable), and maintaining website security and preventing abuse.
When information is no longer needed, it will be deleted.
Sharing your information
We do not sell personal information.
We may share personal information only in limited circumstances, such as:
– Service providers who help us operate our calendar and contact list (Google), only as necessary, and subject to confidentiality/security obligations), and our payment processor (Rotessa Payments).
– Legal or safety requirements if we are required to disclose information by law, court order, or to protect the rights and safety of children, families, staff, or our organization
Access and correction
You may request access to the personal information we hold about you, and request corrections if it is inaccurate or incomplete. To make a request, contact us using the details above.
Children’s information
Our inquiry form includes information about a child (such as name and birthdate) because it is necessary to determine eligibility timing and respond appropriately to your request. We ask that only a parent or legal guardian submit information through the form.
International transfers
Our website and database providers may store or process information in Canada or other jurisdictions. Where information is processed outside your jurisdiction, it may be subject to the laws of that location. We take reasonable steps to ensure service providers protect information appropriately.
Changes to this Privacy Policy
We may update this Privacy Policy from time to time. The “Effective date” at the top will indicate when changes take effect. If changes are significant, we will take reasonable steps to notify users (for example, by posting an updated policy on our website).
